What's New in Propel Rx 1.6 SP2

Enhancements

To help support your Chinese patients, you can now print Chinese SIGs on the Half, Thermal, and Daily Laser vial labels. This feature does not depend on the presence of a Chinese SIM card in your printer; the lack of such a card will not preclude you from using this feature. If you haven't used Chinese SIGs before in PharmaClik Rx, please contact PTS Customer Care to activate this free feature.

To help support your Chinese patients, you can now print Chinese SIGs on the Half, Thermal, and Daily Laser vial labels. Chinese SIGs will print on the vial label only. They will not print on the hard copy, auxiliary labels, e-File copy, or non-label documents (e.g., reports, Forms). SIGs in Technical Validation/Clinical Review will continue to appear in English.

There are 3 parts to printing a Chinese SIG. Select the dropdowns below for more information.

Propel Rx already supports the following languages for SIGs: English, French, Italian, Portuguese, Spanish, Vietnamese, Finnish, German, Polish, and Estonian. The process to print SIGS in these languages is similar to the process for Chinese SIGs. For more information, see Printing Non-English SIGs.

Chinese SIGs have been loaded into Propel Rx under More > List Maint > Instructions. Only the SIGs found in this list can be used in prescriptions. To see which Chinese SIGs are available when processing a prescription, the Display SIG Dropdown List preference should be turned ON. This only needs to be done once.

You cannot add custom Chinese SIGs to List Maintenance. Only the preloaded Chinese Instructions can be used for printing on vial labels.

To turn on the Display SIG Dropdown List:

  1. Select More (...) > Pharmacy > User.

  2. Select the Display SIG Dropdown List checkbox.

  3. Select Save.

  4. Exit Propel Rx, launch it, and log back in on all computers for the changes to take effect.

In the Intake window and Rx Detail, a dropdown will become available for the SIG field.

If a patient prefers to have most or all of their medication instructions in Chinese, you can set the Label Language preference in the Patient Folder to Chinese. While this is not required, it does reduce the amount of manual effort to set up each of the patient's prescriptions. You can still override the Language preference for the prescription in Rx Detail if needed.

To set the Label Language preference for a Patient Folder:

  1. Open the Patient Folder.

  2. Select the Preferences tab.

  3. Under Language, dropdown the Label field and select Chinese.

  4. Select Save.

All future prescriptions (i.e., New, Refill, ReAuth) processed for this patient will default to Chinese as the Label Language.

For a Chinese SIG to print on a prescription vial label, both of the following conditions must be met:

  • A Chinese SIG must be entered in Rx Detail. These SIGs can be identified by a "(C)" at the end.

  • The prescription Label Language preference must be set to Chinese. If the patient's Label Language preference was set to Chinese, this will already be defaulted for the prescription.

To enter a Chinese SIG for a prescription:

  1. Select Intake from the Workbench or Patient Profile.

  2. If Intake was initiated from the Workbench, search for and select the correct patient.

  3. If the prescription already exists on the patient's Profile, select Profile to refill or reauthorize the prescription. Select OK once done.

  4. In the Intake window, all instructions contained within List Maintenance are listed in the SIG field. The Chinese SIGs will appear the same as the English SIGs except for a "(C)" indicator at the end. Dropdown the SIG field and select the appropriate Chinese SIG. To quickly locate the SIG, type it before using the dropdown.

    You can process the prescription from Intake without a SIG and choose the SIG in Rx Detail. In Intake and Rx Detail, a mix of English and Chinese SIGs will be listed in the dropdown.

    You can only choose one Instruction to print in Chinese. If multiple Instructions are selected, they will print in English.

  5. Enter the remaining prescription information.

  6. Select Process. The prescription opens in Rx Detail. The SIG in the Main and Extended tabs of Rx Detail will appear in English. On the printed label, the SIG will appear in Chinese.

  7. If the Label Language was not set to Chinese in the Patient Folder:

    1. Select the Extended tab.

    2. From the Language dropdown, select Chinese.

  8. Fill the prescription as per usual process.

Items ordered directly from K&F (i.e., not sent via Propel Rx) can now be reconciled in Propel Rx. When the invoice for a direct purchase order is applied in Propel Rx, a dummy purchase order with all received items will be created for you to reconcile. The process to reconcile the dummy purchase order is the same as a regular K&F purchase order. For more information, see Reconciling an Order from Kohl & Frisch.

You can now specify the Admin Time ranges that correspond to the Morning, Noon, Evening, and Bedtime slots on the Compliance Blister Packaging, Compliance Dosett Grid, and Compliance Preparation Log reports.

This preference does not impact the MAR, TAR, or TMR reports. Admin Times will appear on these reports based on their positions in the Administration Details window.

When the Map AdminTimes preference is OFF, doses appear on the Compliance reports based on their positions in the Administration Details window. As a result, you may need to enter commas to correctly position a dose on the report. For example, if an Admin Time of 20:00 is entered with no preceding commas, the dose appears in the 1st slot in the Administration Details window and the Morning (1st) slot on the Compliance reports. To position the dose in the Bedtime (4th) slot, 3 commas must be entered before 20:00 to denote the three timeslots that were skipped (i.e., Admin Time = ,,,20:00).

When the Map AdminTimes preference is ON, doses appear on the Compliance reports based on the actual times and a mapping which can be customized. Commas do not influence the position of doses on the reports; extra commas are not required to denote skipped timeslots. For example, if you mapped the Bedtime slot to 20:00 to 23:59, a dose with an Admin Time of 20:00 would appear in the Bedtime slot on the Compliance reports, irrespective if any commas were entered before the Admin Time.

If your non-retail packager uses a different mapping than what's defaulted in Propel Rx, you can customize the mapping in Propel Rx using the Map AdminTimes preference so your Compliance reports match the Compliance packages prepared by the packager.

To set the Map AdminTimes preference:

  1. Select More (...) > Pharmacy.

  2. Select the AdminTimes button at the bottom. The Pharmacy AdminTimes window opens with default time ranges for each position.

  3. Do one of the following:

    • Deselect the Map AdminTimes checkbox to turn the preference OFF. Skip to step 5.

    • Select the Map AdminTimes checkbox to turn the preference ON. The From fields become enabled. The To fields remain disabled as they will be calculated automatically based on the From fields. Continue to step 4.

  4. Enter the starting Admin Time for each position. If Admin Times are not entered in the correct format, Propel Rx will auto-convert them as needed to 24-hour time with a colon. Select the dropdown below for more information on acceptable formatting.

    • Enter with or without a colon (e.g., 0800 or 08:00).

    • Enter in 12-hour or 24-hour time format.

    • If using 12-hour time format, enter "a" or "p" after the Admin Time to denote am or pm times (e.g., 8a, 12p, 8p).

    • Position 1 should be the earliest times in the day.

    When a From field is updated, the To field of the preceding position will auto-populate to 1 minute prior. Admin Times that fall within the time range specified for a position will appear in the corresponding slot on the Compliance reports as follows:

    • Position 1 = Morning

    • Position 2 = Noon

    • Position 3 = Evening

    • Position 4 = Bedtime

    Alpha Admin Times will not be mapped on the Compliance reports.

  5. Select OK.

  6. Select Save.

Fixes

  • If a new prescription was placed on Hold and then filled, the Counsel section should print on the Half label hard copy.

  • Prescriptions which are added to the Workbench from the Patient Profile or Fax tile Intake window should vacate the Data Entry queue after being processed.

  • A prescription should no longer get stuck in queue when a skipped bill code is removed during a rebill.

  • Admin Times and dosing information for a prescription should be retained in the following scenarios:

    • When a patient is moved from one group to another. This includes movement between retail to retail, non-retail to non-retail, retail to non-retail, and non-retail to retail groups.

    • When a prescription is transferred in or out.

  • If a refill request is received from Be Well™ or IVR for a recycled prescription number, Propel Rx should refill the prescription with the most recent date.

  • In British Columbia, when a prescription is refilled or reauthorized, the Dialogue Required flag should not default to OFF.
